As
part of the GIA healthcare team the clinical staff is here to help
both the patient and the physician. Their duties include assisting
the doctors with procedures and office hours, answering patient
questions about medications, procedures and diets as well as maintaining
the equipment used for patient care.

The
Exit Staff
Once
you have finished with the doctor in the office you will spend a
few minutes with one of our exit staff. They will help you to schedule
your next appointment or procedure, give you any information needed
for the appointment and explain any preparation that you need to
do. The exit staff will also collect your co-pay and make sure that
your visit is posted in the computer so that it goes out to your
insurance company.

Chart
Coordination
It
is the job of the chart coordination staff to make sure that your
personal chart is prepared for the physician when you come in for
an office visit or an outpatient procedure. All of your records
are filed in order in the correct section of your chart for easy
access by the physician.

Billing
Although
the ultimate responsibility for the bill rests with the patient,
our billing staff tries to assist the patient in working together
to resolve any problems with insurance issues. The billing staff
places charges for visits and procedures into the computer system.
Claims are submitted to the insurance companies on a regular basis
as are payments received. The billing staff makes
every effort to keep current on the changing insurance plans but
cannot know the ins and outs of every employer's plan. Each insurance
plan has a service department that can help the patient to understand
his or her particular plan and responsibilities.

Transcription
Although
much of the typing for our practice is done by an outside source,
we have two in-house transcriptionists who coordinate all of the
letters sent out by our physicians. Along with typing priority letters
and making necessary modifications, the transcriptionists send out
forms to all of our new patients confirming their appointments.

Entrance
Staff
The
first people that you see when you come to our practice are our entrance
staff. They will ask you for your insurance information as well as
updating other information about you. They will make a copy of your
insurance card. At the time of your visit the entrance staff will
ask for your referral.

Filing
A
large practice such as Gastrointestinal Associates, Inc. handles an
incredible volume of paper each day. It is the job of the filing team
to make sure that every chart is in the proper location which is monitored
through a bar code system. Every time a patient calls with a question
or request, the chart must be retrieved and attached to the message.
Additional results, letters etc. all need to be placed properly inside
the chart.

Operators
The
very first person that you speak to at Gastrointestinal Associates,
Inc. will probably be one of our seven full time operators. These
employees answer all of the incoming phone calls for the practice.
After taking information they will either schedule an appointment
or take a message for the physician. Working within the protocols
of the practice they are often able to guide a patient through the
initial phases of becoming part of our practice. The phones are very
busy; you will probably have a longer wait on Mondays and Fridays
as well as at 9 am each morning.
